Not that I have the answer, but can at least write up experience with setting up previous meet-ups.

  • Don't worry too much, this is supposed to be fun
  • Start small, our first meet-up only had 8 people there
  • Think about the accessibility of your venue (wheelchair access, place for dogs to poop etc)
  • Organisation doesn't have to include the same people every time
  • If you do talks, try to keep them short. An hour long talk is nice and all, but it also takes the wind out of your meetup, give people space to talk about stuff.
  • Get a venue, this can be anything from a (somewhat) quite bar, to an office of one of the attendees, or a rented place. If you need to rent, it's best to get a sponsor.
  • Get drinks! It's not called role=drinks for nothing.
    • First meetup we had everyone bring their own booze. We had around 7 different whisky's to choose from the rest of the night.
    • If you rent out a venue with a bar, try to get someone to sponsor the drinks, or ask if attendees want to split the bill. We went this route for our second meetup. Each attendee ended up paying 30 euro for a 4 hour meetup with beers and snacks.
  • Most people agree a bi-monthly schedule is best for this.
  • Don't have to stick to one venue, Dutch variant has had a different location every time.
